Why would you upgrade your current printer/copier?
Many South Africans still today make use of small printers and small MFP Copiers that are very cheap when purchasing but only realise the high maintenance and ink cost on a monthly basis when the purchase has been done. Even refilling the cartridges comes with its own frustrations. The Warranty will also be discontinued on equipment the moment you used your first refill cartridge.
How do you know you can save money by upgrading?
Here is a quick and short cost analysis we did on one of our current customer’s machines to show them their current cost, and also our saving and benefits.
Current Machine & Cost:
- Current Colour Printer Bought at Retailer: 22 pages per minute
- Purchased Price between R3, 500 – R5, 500
- Monthly Volume around 1000 – 2000 prints per month
- Cartridge Cost: Black - R990.00
- Yield 2500 (this is how many prints your cartridge/toner should give you in a perfect environment). You can take at least 20% of yield depending on coverage and what you print.
- Cartridge Cost: Per Colour (You need three) R 1, 450.00
- Yield per Cartridge/Toner 2200
Here is the formula we use to calculate your cost excluding maintenance, petrol and downtime.

- The Client is doing 500 colour prints per month and 900 black prints per month so we calculate it the following way:
900 Black Prints x 0.396 = R 356.40 per month
500 Colour Prints x 1.977 = R 988.50 per month
Total Cost per Month R1, 344.90
The R1, 344.90 is only the cost on toner per month, this excludes any blown boards, call out fee, maintenance kit, support, installation, cost on dropping toner, etc.
The life on these machines are usually around 3 years (36 months) so to be clearer on cost we can even divide the purchased cost of machine by 36 months.
R4500.00 ÷ 36 = R125.00
Total cost including machine cost will be R1, 469.90 per month.
Our Offer was the following:

- 900 Black Prints x 0.15 = R 135.00 per month
- 500 Colour Prints x 0.75 = R 375.00 per month
- Monthly Rental = R 399.00 per month
- Total Monthly Cost = R 909.00 per month
Proposed cost of R909.00 per month subtracted from current cost of R1, 469.90 per month, gives you a total monthly Saving: R560.90 per month and R6, 730.80 over 12 months.
